Stop Pushy Salespeople and Reclaim Your Inbox

Here is how you can draw a firm line in the sand, protect your calendar, and use technology to eliminate unwanted vendor noise.

Ditch the Soft Refusal

There’s a lot of power in being able to just say "no." One of the most common pitfalls business leaders encounter when dealing with persistent sales outreach is attempting to be polite.

Phrases like "We’re just too busy right now" or "Try reaching back out next quarter" are often interpreted by trained sales reps as an invitation to follow up later.

To stop the cycle, you must deliver a clear, definitive refusal.

When crafting your response, use full phrases such as "do not" rather than contractions like "don't". Formal language carries an authoritative tone that signals finality. 

State plainly that the offering does not align with your organization's goals, request immediate removal from their contact databases, and insist that all outreach cease.

A Direct Removal Template You Can Copy

When an unwanted sales email lands in your inbox, respond with this concise script:

Subject: Response regarding outreach – [Your Company Name]

Hi [Name],

We have thoroughly evaluated your information and determined that your product does not meet our business needs. We will not be moving forward.

Please update your system to remove my phone number and email address from all contact lists. Do NOT contact me again regarding this service. Should our needs change in the future, we will reach out directly.

Thank you for your time.

Let Technology Do the Heavy Lifting by Automating Your Filters

If a vendor continues to message you after receiving a clear refusal, don't waste energy getting frustrated—let automation handle it. Setting up an email rule takes less than two minutes and silences the disruption permanently.

If your team runs on Google Workspace, follow these steps to block the entire vendor domain:

  1. Open Gmail on your computer.
  2. Click the Search options icon located on the right side of the top search bar.
  3. In the From field, enter the vendor's entire domain name prefixed with the @ symbol (for example, @unwantedvendor-dot-com). Using the domain level ensures every sales representative from that firm is included, not just the single sender.
  4. Click Create filter at the bottom of the window.
  5. Select the checkbox for Skip the Inbox (Archive it).
  6. Check Apply the label, create a new folder named Vendor Noise, and click Create filter to finish.

From that moment on, all incoming messages from that domain bypass your main view, quietly storing themselves out of sight so you can stay focused on what truly matters.
