Using Your Tech Savvy Employee for IT Costs More than You’d Think

Using Your Tech Savvy Employee for IT Costs More than You’d Think

Every office has one… the person who fixes the jammed printer, sets up new email accounts on smartphones, and helps colleagues recover lost files. They’re probably super helpful and appreciated by the rest of the team.

Unfortunately, turning your resident tech-savvy employee into your de facto IT manager is a dangerous, expensive trap for your business.

It usually starts innocently enough. You hire a talented operations manager or a sharp accountant who happens to know their way around Windows settings. The first time the office Wi-Fi drops or someone forgets their password, they step in and save the day.

Everyone sighs in relief, and suddenly, they are officially the designated "tech person."

While this seems like an efficient, cost-saving shortcut on paper, tasking operational personnel with IT dilutes their main role, increases security oversight risks, and ends up costing far more in lost productivity.

Diluting Their Primary Purpose

Your tech-savvy employee was hired for a specific role. Whether they are managing client relationships, handling bookkeeping, or driving revenue, every minute they spend troubleshooting a workstation is a minute they are not doing the job you hired them to do.

If your top sales manager spends three hours helping a coworker recover an overwritten spreadsheet, that is three hours not spent closing deals. Over the course of a year, those interrupted focus sessions add up to dozens of lost billable hours. You end up paying a senior salary for basic troubleshooting while their core responsibilities fall behind.

The Gap Between Tech Ability and Security Oversight

There is a massive difference between being good with gadgets and managing enterprise cybersecurity. Knowing how to set up a dual-monitor rig or configure a smart TV in the conference room does not mean someone knows how to defend against modern ransomware, configure proper network segmentation, or audit user access controls.

Cybercriminals rely on silent, sophisticated tactics. A tech-savvy staff member might solve daily annoyances, but they rarely have the time or training to monitor network logs, verify offsite backup integrity, or keep up with compliance standards. When critical tasks like patch management and multi-factor authentication enforcement get pushed to the side, major security gaps open up.

You Don’t Want a Single Point of Failure

Relying on one employee for informal tech support also creates significant operational risk. What happens when that employee goes on vacation, calls in sick, or leaves the company entirely?

When all your administrative credentials, network passwords, and system configurations live inside one person's head, your business becomes vulnerable overnight. If they step away, daily operations can grind to a halt the moment something breaks.

Empowering Your Team with Professional Support

Shifting away from an informal IT setup is not about diminishing any employee’s value. In fact, it is quite the opposite—it is about freeing them to excel at the job they were actually hired to do.

By partnering with a dedicated IT service provider, your staff gets expert support for routine headaches, while your network gains professional-grade security oversight and redundancy. Your resident tech enthusiast can go back to driving results in their actual role, without the heavy burden of keeping the company's technology afloat.
